Business Automation

Business Automation — Get the Admin Off Your Desk

Same output, minus the hours you were spending on it manually.

Almost every small business is quietly running on copy-and-paste. Someone re-types booking details into a spreadsheet. Someone builds the same invoice from the same tracker every month. Someone chases the same three emails every Monday. It works, it is invisible in the accounts, and it costs entire days.

Automation is the unglamorous fix. We map what you actually do, find the parts a machine should be doing, and build them — connecting the tools you already pay for rather than selling you a new platform.

A good fit if

  • There is a task somebody does every week that has clear rules
  • You are re-entering the same data into two or more systems
  • Invoicing, quoting or reporting takes a day a month that it should not
  • Growth is currently limited by admin capacity, not by demand

Probably not us if

  • The process changes every time and nobody can describe the rules yet — fix the process first, then automate it
  • You want a general-purpose AI to 'run the business' without defining what it should do

What is included

Process mapping

A short, honest audit of where your week actually goes.

Integrations

Connecting the tools you already use — CRM, sheets, accounting, calendars, forms, payments.

Document generation

Invoices, quotes, contracts and reports produced automatically from real data.

Scheduled jobs

Monthly invoicing runs, weekly reports, reminder sequences — running on their own.

Alerts that matter

Notifications when something needs a human, silence when it does not.

Handover

Documentation, so the automation is not a black box only we understand.

We start with your week, not with a tool

The first conversation is not about software. It is a walk through a normal week: what you touch, how often, how long it takes and what happens when it goes wrong. That is where the real savings hide — usually in something nobody thought of as a process.

Then we pick the smallest thing with the biggest payback and build that first, so you see a result in weeks rather than after a six-month programme.

Automation that fails loudly

The dangerous automation is the one that silently stops working and nobody notices for a month. Everything we build is designed to fail visibly: if an invoice run cannot complete, you get told, with the reason.

We would rather you get one alert than discover a gap in your billing at year end.

What this looks like in practice

A property client had monthly invoicing that took more than forty hours across the year in manual work; it now runs from the tracker they already maintained. A surf school had bookings, payments and schedules living in three places; they now live in one, and the confirmations send themselves.

Neither project needed a new platform. Both needed somebody to sit down, map the process and write the connective code.

Questions we get asked

What can actually be automated in a small business?

Anything repetitive with clear rules: invoicing and quoting, booking confirmations and reminders, data moving between systems, monthly reporting, review requests, onboarding sequences, document generation. If you can write down the steps, it can usually be built.

How much time does automation really save?

It varies, but the honest answer is that the wins are usually concentrated in one or two processes rather than spread thinly. One client's invoicing alone was over forty hours a year. We estimate the saving during the audit before you commit to anything.

Do we have to change the tools we use?

Usually not. Our default is to connect what you already have. We will only recommend replacing a tool if it genuinely cannot do the job, and we will tell you the cost of switching honestly.

What happens if the automation breaks?

You get alerted with the reason, rather than finding out weeks later. We also document how each workflow runs, and we offer ongoing support if you would rather not own that yourself.
